Sales Administrator
We are looking for an organised, proactive, and customer-focused Sales Administrator to support the day-to-day operations of our Office and Sales functions. This varied and rewarding role is key to ensuring a high standard of visitor experience - from first enquiry through to product/experience delivery.
Working closely with the Sales Coordinator and the wider team, you’ll handle customer enquiries, process sales and bookings, coordinate administrative tasks, and assist with marketing and events support. As one of the first points of contact for visitors, your communication and people skills will play a vital role in delivering excellent service while supporting the smooth running of the Zoo’s commercial operations.

Core Responsibilities:
Customer Service & Sales:
· Act as a warm, friendly, and professional first point of contact for telephone and email enquiries.
· Process telephone sales and take payments via the Zoo’s ticketing platform for experiences, memberships, adoptions, and other products.
· Provide accurate and informed responses to customer queries, demonstrating good knowledge of Zoo products and services.
Sales Administration & Support:
· Prepare and dispatch adoption packs and keeper experience documentation, ensuring timely and accurate delivery.
· Maintain and update adoption boards across the site in coordination with the Sales Coordinator.
· Work with the Animal Keeping team to share relevant details of upcoming animal experiences.
· Support the coordination and administration of group bookings, room hire, and corporate experiences/ team days.
· Help manage the Zoo’s reciprocal ticketing programme with partner attractions.
General Administration:
· Perform general office duties including franking post, data entry, Gift Aid processing, and stock management.
· Assist in keeping website content up-to-date and accurate in liaison with the Marketing team.
· Support the Zoo’s Health & Safety processes through effective record keeping, document management, and minute taking.
· Provide flexible support to the wider Office Team as needed.
Team Support & Events:
· Assist the Marketing and Fundraising teams in the delivery of events and activities throughout the year.
· Provide ad hoc admin support to the Education Manager, Head of Sales & Marketing, and Community Engagement and Partnerships Manager.
· Provide ad hoc admin support to our CEO/Director as well as assisting with wider administrative duties for the Charity.
· Work as part of the weekend office rota (two weekend days per month and occasional bank holidays).
Person Specification
Education & Qualifications:
· Educated to GCSE level (or equivalent) including English and Maths. (Essential)
· Relevant administrative or customer service training or qualifications. (Desirable)
Experience:
· Previous experience in an administrative, customer service, or sales support role. (Essential)
· Experience working in a visitor attraction, tourism, charity, or similar public-facing organisation. (Desirable)
· Experience using ticketing, CRM, or booking systems. (Desirable)
Skills & Abilities:
· Excellent verbal and written communication skills.
· Strong organisation and time-management skills, with the ability to multitask effectively.
· Confidence using standard IT packages including Microsoft Office (Word, Excel, Outlook).
· Able to follow processes, handle sensitive information with discretion, and maintain accuracy.
· Comfortable handling payments and working within systems and processes.
· Proactive attitude with a willingness to learn and take on varied tasks.

Work Pattern:
Permanent, 4 days per week (plus 2 weekend days per month)
Salary:
£26,000 - £28,000 FTE per annum, dependent on experience.
